How to number the pages of a PDF on Mac

Essential for a merged bundle, a submission, or anything anyone will have to refer to by page.

A merged bundle almost never has continuous numbering: each source document brought its own, so the pages run 1–12, then 1–8, then 1–30. The moment anyone has to say “see page 14” it falls apart.

Page numbering is part of Premium, so it carries a small lock in the document actions panel and in the menu bar. The lock is a label rather than a barrier — you can open the feature and see what it does before deciding to unlock it. Reading and every page operation stay free.

Add numbers, step by step

  1. Finish assembling the document first

    Number last. Any page added or removed afterwards makes the numbering wrong, and wrong numbers are worse than none.

  2. Open Watermark & Numbering

    From the document actions panel, under Content.

  3. Choose the position

    Bottom centre is the safe default. Bottom outer corner is better for anything that will be bound, because the number stays visible when pages are turned.

  4. Set the format

    A bare number, “Page 3”, “3 of 40”, or a prefix for a bundle reference. “3 of 40” tells the reader whether they have the whole thing, which is worth the extra characters.

  5. Set the starting number and the first page

    Cover sheets are usually not numbered. Starting on page 2 with the number 1 is the normal arrangement.

  6. Check it does not land on content

    Look at several pages, especially any with a full-width table or image at the bottom. A number printed over content is worse than no number.

Any document that will be discussed by more than one person needs page numbers. Bundles for a meeting, submissions, exhibit sets, anything with an index: the numbering is not decoration, it is the only way two people can be sure they are looking at the same page.
