How to fix a typo in a PDF on Mac

One wrong word, one wrong figure, one wrong date. The two-minute version of editing a PDF.

The document is finished, it is signed off, it has gone out — and there is a typo on page nine. You do not need the original file, the person who made it, or the software they used.

Editing text is part of Premium, so it carries a small lock in the document actions panel and in the menu bar. The lock is a label rather than a barrier — you can open the feature and see what it does before deciding to unlock it. Reading and every page operation stay free.

Fix it, step by step

  1. Find the mistake

    ⌘+F and search for the wrong word. Faster than scrolling, and it also tells you whether the same mistake appears more than once — which it usually does.
  2. Switch on text editing

    Choose the text editing tool from the pill along the bottom.

  3. Click into the word and retype it

    Double-click to select the whole word, then type the right one.

  4. Check the line still looks right

    Verso matches the size to the lines around it, so it should sit correctly. Glance at it anyway — a replacement that is much longer than the original may need a shorter wording.

  5. Check for repeats

    Search again for the wrong spelling. A typo that appeared once on page nine is often on pages fourteen and twenty-two as well.

  6. Save

    ⌘+S. The change is written back to the document.
Catch the next one by listening

Read Aloud speaks the document and highlights each word as it goes. Hearing a sentence is the fastest way to catch the word typed twice, the missing “not”, and the number that reads wrong. It is free, and it is a better proofread than another pass with your eyes.

If you cannot click into the word

The page is a scan and has no text in it. Run Make Searchable over the document first; after that the word is real text and can be corrected like any other.

Typos in a document you did not make

If the document belongs to someone else and the correction matters, marking it up is usually the right move rather than silently editing: strike the wrong word through, add a note with the right one, and send it back. Editing someone else's document without telling them produces two versions in the world that differ and nobody knows why.

If you own the document and it has already gone out, fix it and reissue it with the date changed, so the corrected copy is identifiable.
