How to add a watermark to a PDF on Mac

Across every page, at the opacity you choose. A warning, not a lock.

A watermark runs across every page of a document, usually diagonally, usually faint. It tells a reader what they are holding before they read a word of it.

Watermarks and page numbering is part of Premium, so it carries a small lock in the document actions panel and in the menu bar. The lock is a label rather than a barrier — you can open the feature and see what it does before deciding to unlock it. Reading and every page operation stay free.

Add one, step by step

  1. Open Watermark & Numbering

    From the document actions panel, under Content.

  2. Set the text

    DRAFT, CONFIDENTIAL, NOT FOR CIRCULATION, a client name, a date. Short is better — a long watermark is unreadable at any angle.

  3. Set the appearance

    Size, angle, colour and opacity. Diagonal at around 45° is conventional because it does not line up with the text underneath.

  4. Get the opacity right

    This is the only setting that really matters. Too faint and nobody notices; too strong and the document cannot be read. Around 10–20% of a mid grey is usually about right — and check it on a dense page, not a title page.

  5. Apply and save

    It goes across every page. Save under a new name so the clean original survives.

A watermark is a label, not protection

It does not stop anyone doing anything. A determined reader can remove it, crop around it, or retype the document. Its value is that an honest reader can see at a glance what they are looking at — which prevents the far more common problem of a draft being treated as final. If you need actual restriction, use password protection. If something must not be readable at all, use redaction.

Making a watermark permanent

An applied watermark can be removed by whoever receives the document unless the document is flattened. For a draft circulating internally that hardly matters. For something being sent outside where the label is the point, flatten it.

Watermarking a folder

Stamping a whole set of documents as DRAFT before a review round, or with a client name before sending a bundle, is a batch recipe: configure it once and run it across the folder.
